Based in The Hague, Netherlands, and reporting to the Assistant Controller within the Finance department, this role combines day-to-day office leadership with hands-on support for our global business operations. You'll serve as our legal representative in the Netherlands and play a key role in ensuring that local administrative tasks are handled smoothly and in line with corporate policy.
At the same time, you'll work closely with our Sales, Finance, and Systems teams to support CRM operations, reporting, and sales performance - especially through Salesforce. This is a dynamic, cross-functional position where no two days are the same. It's perfect for someone who enjoys working independently, communicating across teams, and keeping operations running seamlessly.
Duties / Responsibilities:
Legal Representation & Stakeholder Relations
- Serve as the company's legal representative in the Netherlands
- Manage communications with Dutch authorities, banks, and customers when needed for business operations (e.g. tax filings)
- Act as the main contact for vendors and service providers, maintaining strong relationships
- Coordinate cross-team processes and communications to keep operations smooth and responsive
- Anticipate business risks and help identify proactive solutions
- Confidently resolve discrepancies or issues, and clearly communicate changes to relevant stakeholders
- Support internal policies, workflows, and documentation to ensure clarity and compliance
CRM & Sales Performance Operations
- Collaborate with Sales, Marketing, Product, Systems, and Finance teams to build reporting tools and dashboards in Salesforce
- Support system integrations and user analytics to improve visibility into customer behavior and internal performance
- Help facilitate regular sales pipeline reviews to strengthen forecasting and strategy
- Provide timely reporting to support payment automation and financial tracking
- Coordinate CRM-related tasks across departments with a project management mindset
Local Office Operations & Administrative Services
- Provide administrative support to the Finance and Management teams for tasks requiring on-the-ground coordination in the Netherlands
- Manage incoming and outgoing mail, scanning, courier logistics, and occasional banking tasks
- Maintain phone, email, and documentation systems in line with company policy
- Support collections and accounts receivable activities via Salesforce
- Process purchase orders and utility setups for office needs and track outstanding requests
- Keep accurate, well-organized vendor and office records in QuickBooks and shared drives
Qualifications & Requirements:
- Must hold Dutch citizenship (legal requirement for representation duties)
- Fluent in Dutch and English, both spoken and written
- Minimum of 3 years of experience supporting Sales, Finance, or Systems teams, with strong exposure to Salesforce or a similar CRM
- 3+ years of hands-on office administration or operational support, ideally in a fast-paced or software-driven environment
- Solid understanding of sales processes, CRM workflows, and financial tracking
- Excellent organizational and communication skills, with a sharp eye for detail
- Comfortable collaborating with senior leaders and cross-functional stakeholders
- Strong command of Microsoft Office, particularly Excel
- Able to manage priorities independently and balance routine tasks with project-based work
- Curious, proactive, and eager to contribute to operational improvement
Nice to have:
- Salesforce certification or advanced user experience
- Previous experience using QuickBooks
- Background in a SaaS or software company working with B2B or public sector clients
Education and Experience:
- Degree in Business Administration, Accounting, or a diploma in Office Administration or related field strongly preferred
- Minimum 5 years of experience in office coordination, business operations, or sales support
Working Conditions:
- Full-time, hybrid role based in The Hague
- Frequent coordination with internal teams and external Dutch stakeholders, both online and in person
